Getting Started Guide · Version 0.15.5

Get started with Wooshie

Follow these steps to connect WooCommerce to Google Sheets, configure your first automation, and start sending order details automatically.

Before you begin

  • WordPress 6.4 or newer.
  • WooCommerce 8.0 or newer.
  • PHP 7.4 or newer.
  • An active Wooshie license.
  • Administrator access to WordPress for initial setup.
  • A Google account with permission to edit the destination spreadsheet.

You do not need to create a Google Cloud project or configure Google API credentials. Phooey Labs Connector handles the authorization process for Wooshie.

Download and install Wooshie

  • Download the plugin ZIP from your purchase email or your Phooey Labs account. Use the email address from checkout to access your purchases.
  • In WordPress, open Plugins → Add New Plugin → Upload Plugin.
  • Upload the ZIP, install it, and activate Wooshie.
  • Make sure WooCommerce is also installed and active.

The paid plugin ZIP is available only through your purchase email or account.

Activate your license

  • Open WooCommerce → Wooshie.
  • Complete the license activation prompt, or open Settings to manage the license.
  • Confirm the license is active before connecting Google.

The license you selected determines how many sites can be activated.

Connect Google

  • Open Google Connection and select Connect Google.
  • Sign in with the Google account that can edit the intended spreadsheet.
  • Google identifies the authorization app as Phooey Labs Connector.
  • Complete authorization and return to WordPress.

Connecting Google does not automatically enable order sending.

Create your first automation

  • Open Automations and select Create Automation.
  • Give the automation a descriptive, unique name.
  • Choose the order statuses that should trigger sending.
  • Select the products to include. Selecting a parent product includes its variations.
  • Each matching order line item becomes a row, with its quantity kept in that row. Other products in the order are excluded.
  • Save the setup before selecting the destination.

Choose how resends behave

Add a new row
Automatic qualifying status changes send an item once. An explicit Resend adds another row.
Update the previously sent row
Later qualifying status changes or an explicit Resend update the previously tracked row when Wooshie can safely verify it.

Choose your spreadsheet and columns

  • Select Choose Google Sheet and choose an existing spreadsheet.
  • Choose an existing tab or add a new blank tab within that spreadsheet. Adding a tab does not create a new spreadsheet file.
  • Save the destination.
  • In Columns, select Include for each column to populate and choose its WooCommerce source.
  • Review the headings and column order.
  • Select Save Column Configuration, or Update Column Configuration when revising an existing setup.

Saving applies headings and column order to Google Sheets, but it does not send order rows. Headings and column order are shared by automations that use the same tab.

Custom fields

Dedicated support is available for ThemeHigh Checkout Field Editor Pro. Other plugins and custom code are supported when they store compatible order or order-item metadata. Some fields require a recent matching order before you refresh the available field list. Compatibility with every custom-field plugin is not guaranteed, so preview a matching order before enabling automatic sending.

Preview and send a test

Use an existing order

Enter an order ID containing a selected product and choose Preview Rows. Review the values, explicitly send the test row, then check the result in Google Sheets.

Use sample data

If no suitable order exists, choose Preview Sample Data. Review the preview, then select Send Sample Row. This writes illustrative data to the selected tab without creating a WooCommerce order.

Previewing alone sends nothing. Test and sample sends write actual rows to Google Sheets. A successful sample can satisfy the test requirement, but use a real order to verify actual checkout values and automatic status triggers.

Activate and enable Live Sync

  • Save any outstanding changes.
  • Use Check Automation Readiness and address any listed requirements.
  • Turn the automation Active when it is ready.
  • Open Settings and run Check Readiness.
  • When the checks pass, complete the displayed confirmation and select Enable Live Sync.

Both an active automation and enabled Live Sync are required for automatic sending. Live Sync applies to future qualifying order-status changes. Configuration changes can require another successful test before the automation is ready again.

Import earlier orders, if needed

  • Open Existing Orders within the automation.
  • Review the available selection options and preview matching items.
  • Confirm the intended import and follow the displayed readiness requirements.
  • Monitor progress and review the Transmission Log.

Earlier orders use a separate import workflow. Rows created outside Wooshie cannot be identified reliably from Wooshie’s transmission history, so review the destination before importing to avoid unintended duplicates.

Troubleshooting

Orders are not appearing

Check the automation’s Active status, Live Sync, selected products, trigger statuses, readiness results, and Transmission Log. Earlier orders require Existing Orders.

A custom field is missing

Confirm that the field uses supported storage, use a recent matching order where needed, refresh the field list, and preview again.

Google needs to be reconnected

Use Reconnect Google. Reconnecting pauses Live Sync and stops remaining historical imports. Review readiness and explicitly enable Live Sync again afterward.

I changed or deleted spreadsheet columns

Reload the column configuration, review the recovery instructions and affected mappings, explicitly save the revised configuration, and complete any required test and readiness checks.

A send failed or its result is uncertain

Review the Transmission Log and spreadsheet before retrying. Follow the plugin’s recovery instructions to avoid repeating a write whose outcome is uncertain.
